The current financial crisis forced organizations and businesses of all sizes to rethink their IT strategies. Suddenly budgets and spending shrank but expectations and requirements did not. The need to easily and quickly locate and use the 80% of enterprise information that is still unstructured in today's businesses, and to automate the large percentage of paper transactions are still pressing as ever for a competitive business regardless of the crisis.

The region's common practice of buying the most sophisticated and advanced solutions from big names vendors regardless of actual needs, the organization's IT infrastructure/human resources or the cost of implementation, customization and support can no longer be maintained.

The tough times substantiated the vision and strategy of NVSSoft, because it analyzes the real regional and local market needs, taking into consideration legal, educational, linguistic, infrastructure and other aspects, is far more important in designing and implementing its products and services than cramming features in over-inflated and inflexible systems that are hard and expensive to even maintain, let alone customize and evolve with the customer's needs.

In a very competitive environment like the Enterprise Content Management (ECM) market, the combination of reasonable pricing, local professional services, precise analysis of client needs and flexibility in customization is the winner.

By keeping a clear vision while strictly adhering to the highest standards in quality and inter-operability, NVSSoft's portfolio of products and services evolved and matured over the years to cover a broad range of information management needs: Enterprise Document Management (DMS), Business Process Management (BPM) and Workflow and Volume paper scanning and capturing, and others. All consolidated in a tightly integrated ECM suite called ArcMate Suite, complete with a common infrastructure, API's and middleware to fit in heterogeneous enterprise IT environments.

In Dubai Islamic Bank, an NVSSoft customized solution, based on ArcMate Capture helped the bank face the big challenge of a monthly flood of paper payroll sheets, containing tens of thousands of names, coming from hundreds of client businesses that for various security and legal reasons, cannot or would not send their payroll data in electronic formats.

The solution combined various image enhancement, multilingual OCR, neural network artificial intelligence and advanced editing, and human as well as computer validation techniques, to accurately and speedily identify and extract payroll information and discard irrelevant data like page headers, footers, stamps and unnecessary fields, out of printed paper tables of all sizes, shapes, orientations and languages imaginable.

The solution was spread over a secure, controlled, audited and monitored capturing production workflow with multiple check points to ensure perfect extraction accuracy.

The extracted information was then fed into the core banking system for proper processing of transactions.

By replacing the army of manual data entry operators with the ArcMate Capture-based automated solution, the bank was able to provide better, faster and most importantly, less-costly services to its customers.

In Emirates Post (EMPOST), the challenge was to accurately scan and automatically index and validate a daily workload of tens of thousands of airway bills and release them into a customized Microsoft SharePoint portal for search and retrieval.

The workload was distributed over multiple physical locations with various degrees of connectivity to the central portal server.

Using ArcMate Capture, and building a portal customized according to the specific needs of EMPOST, NVSSoft was able to provide the same level of service expected from industry leaders in capturing solutions with far less cost.

With Saudi Mobile Service Provider Zain, NVSSoft teamed with International Turnkey Solutions (ITS), a major regional player in the IT field, to provide an ArcMate Enterprise DMS-based solution that enables about 1,600 Zain shops and outlets, spread all over the Kingdom of Saudi Arabia, to scan and index cell phone customers' contracts and supporting documents directly into the document management system's repository with a clear target of zero technical support at the client side.

The solution seamlessly integrated with ITS billing system TABS to fully automate and validate the client registration process. It also captured and indexed TABS generated customers' invoices to provide a unified repository for all customer related documents.

A very similar solution was implemented again in Kuwait with Viva mobile service provider with similar success.

In Oudeh Petroleum Company (OPC), Syria, NVSSoft took charge of fully automating the company's business processes using ArcMate EZIFlow in a phased approach.

The project covered covers system analysis and detailed requirement gathering and documenting by NVSSoft's certified document management consultants who worked side by side with OPC staff to record, document, automate, deploy and enhance current paper based processes.

The solution relied on ArcMate Enterprise DMS as a back-end unified repository for all of the company's documents.

Like any large organization, the information management solutions at Oudeh Petroleum do not live in a vacuum, they are all integrated to various extents with HR, financial and other third party systems. And again, like any large company, OPC is spread over multiple distant geographical locations with various connection speeds and technologies. NVSSoft systems' scalability and web-based architecture ensured smooth implementations and upgrades when the need arose.

In the previous examples, success relied mainly on properly analyzing customer needs and accurately assessing their requirements by dedicated professionals with long experience in actual implementations of information management solutions in the region.

By identifying and avoiding the pitfalls and mistakes that lead to failures, NVSSoft was able to achieve remarkable successes against stiff competition from much larger players and most importantly again, with a fraction of the cost.
